Minutes of the Special General Meeting CMSA (Inc.)
Held at 29ACCMCC, Copthornes-Manuels, Taupo, New Zealand

(1) Kirkman Medal Presentation:
The Kirkman Medal of the ICA (Institute of Combinatorics and its Applications) was presented to Sanming Zhou. E. Billington made the presentation on behalf of the ICA and read Sanming’s citation from the Bulletin of the ICA. Sanming made a short speech which included thanking the Council of the ICA, Cheryl Praeger and Nick Wormald.
(2) Apologies:
Apologies were received from L. Batten, P. Manyem, C. Rodger and K. McAvaney.
(3) Confirmation of Minutes of 2004 AGM
Confirmation of 2004 AGM minutes was postponed until the next AGM.
(4) 30ACCMCC
E. Billington gave a brief report on preparations for 30ACCMCC which will be held at the University of Queensland in the week beginning Monday December 5 2005.
(5) Motion to amend the Rules
of the Combinatorial Mathematics Society of Australasia Incorporated.
D. Bryant explained reasons for the proposed
change and difficulties associated with scheduling the AGM.
[As an incorporated association in Queensland we
are required to hold our AGM within six months of the end of our financial
year. Traditionally our AGM’s have been held at ACCMCC in either July or
December. With our financial year currently ending on May 31, this means that
we cannot hold the AGM at ACCMCC when ACCMCC is in December. There are several
compulsory items on the AGM agenda including the receiving of the auditor's
report upon the books and accounts for the preceding financial year, and the
election of members of the Council. Unfortunately, shifting the end of our
financial year to June 30 would not leave enough time to get an auditor’s
report before an AGM at a July ACCMCC. So it is not possible to schedule the
close of our financial year on a date so that our AGM can be held at ACCMCC
irrespective of whether it is held in July or December. The following proposed
change to the timing of the end of our financial year (once registered) will
allow us to hold the AGM at a December ACCMCC but not at a July ACCMCC.]
It was moved (P. Bonnington/E. Billington) that
the following change be made to the Rules of the Combinatorial Mathematics
Society of Australasia Incorporated:
The words
"The financial year of the Society shall
close on 31 May in each year."
shall be replaced by
"The financial year of the Society shall
close on 30 June in each year."
A brief discussion took place and the motion was
passed unanimously.
(6) Scheduling of 2005 AGM.
It was agreed that the 2005 CMSA AGM should be held at 30ACCMCC at the University of Queensland in December.
(7) Any other business.
P. Bonnington gave a report on the Australasian Journal of Combinatorics and reported a move to 3 volumes per year. Some statistics on acceptance and rejection rates were also presented.
I. Roberts mentioned the possibility of hosting 31ACCMCC in Alice Springs in July 2006 and perhaps holding a workshop after the conference.
